School Information: School name, address, contact information, and other relevant details provided by the School Owner during the subscription process.
User Information: Name, email address, phone number, and other information provided by Users during account creation or as authorized by the School Owner/Administrator.
Student Information: Name, identification number, grade level, and other information provided by the School Owner/Administrator. This information may also include academic performance data, and other relevant records and reports, as authorized by the school.
Usage Data: Data collected through your interactions with the platform, such as access times, device information, IP address and feature usage.
Customer Data: Any information uploaded, stored, or processed within Eportalnet, including student records, payment histories, and other related data.

2. Use of Information

Eportalnet uses the collected data to:

Provide and improve our school management solutions, including result processing and fee tracking.
Enhance user experience and platform functionality.
Communicate with users regarding updates, support, and service notifications.
Develop internal AI-powered solutions or tools to improve educational outcomes and services.
Fulfil requests from School Owners/Administrators, such as providing student reports or facilitating communication between parents and teachers.
To improve the Platform and develop new features and services.
To comply with legal and regulatory requirements.

Prohibition on AI Training: Data collected or stored within Eportalnet will not be used to train general-purpose Artificial Intelligence Models, such as Large Language Models (LLMs). We may, however, use data in aggregate and anonymized form to improve Eportalnet’s system features or develop specialized AI tools solely for enhancing educational processes and outcomes within Eportalnet or for educational purposes. All such use will be limited to specific applications aligned with our educational mission and comply with privacy standards and user consent.

Children's Privacy

Eportalnet is used for school management and may collect personal information of children under the age of 13 as part of its functionality through the School Administrators/Owners. We are committed to protecting the privacy of all users, including children as required by applicable laws and regulations.

3. Subcontractors and Subprocessors

To deliver our services effectively, Eportalnet engages trusted third-party subcontractors and subprocessors. These entities may have access to Customer Data but only to the extent necessary to facilitate the services. All subcontractors and subprocessors are bound by confidentiality agreements and are required to adhere to stringent data security standards.

4. Data Sharing and Disclosure

We do not sell or share your data with third parties for marketing purposes. Data may be disclosed:

To school owners/administrators who have authorized access to manage the Platform for their schools.
To comply with legal obligations or respond to lawful requests by public authorities.
To protect the rights, property, or safety of users or others.
To authorized subcontractors as outlined above.

De-identified data (data stripped of personal identifiers) may be used for service improvement, analytics, and research.

5. Data Security

Eportalnet employs advanced technical, administrative, and physical safeguards to protect your data against unauthorized access, alteration, disclosure, or destruction. However, we cannot guarantee complete security due to inherent risks associated with online data storage and transmission.

6. Your Data Rights

You may:

Access, update, or delete your personal data through your account settings. Deletion is subject to certain exceptions.
Request data portability or restriction of processing.
Opt-out of non-essential communications.
